With this in mind, we are recruiting a professional to fill the role of “Finance and Administrative Manager” in charge of C&V’s clients and projects.

 

The Finance and Administrative Manager will play a key role in supporting the company’s daily financial and administrative operations. Their responsibilities will include managing client invoicing, tracking internal expenses, and preparing financial documentation and reports, particularly for externally funded projects such as EU grants. The role also involves maintaining clear records, assisting with financial audits, and ensuring compliance with internal procedures and external funding requirements. This position is crucial for maintaining the organisation, accountability and responsiveness of the company’s operations.

 

YOUR RESPONSIBILITIES

Financial responsibilities:

  • Process and manage client invoices and internal expense reports.
  • Support the financial aspects of EU-funded projects, including:
  • Maintaining and verifying timesheets.
  • Preparing for and assisting with financial reports and audits.
  • Ensuring compliance with EU financial guidelines.
  • Ensuring the correct budget allocation for EU projects.
  • Collaborate with external accountants for accurate bookkeeping.
  • Contribute to the company’s commercial prospection by identifying new business opportunities.

 

Administrative responsibilities:

  • Handle procurement of materials and services.
  • Organise logistics for workshops, meetings, and events (e.g., booking venues, arranging catering).
  • Manage office supplies and liaise with vendors.
  • Maintain organised records and documentation for administrative and financial activities.
  • Coordination with other relevant stakeholders such as accountants, office managers and HR.
  • The Finance and Administrative Manager will also have a role in the negotiation with clients and partners, provide guidance and participate in the financial strategy of the company.

 

EDUCATION AND SKILLS REQUIRED

  • Master’s degree in Business Administration, Finance or equivalent.
  • Experience working in a similar role.
  • Strong organisational skills and can easily work under pressure and tight deadlines.
  • Expert knowledge of the standard MS package, mainly MS Word, Excel and PP. Other Admin and Finance tool knowledge are also welcomed.
  • Excellent level of English (C1) as mandatory and knowing other EU languages is a plus.
  • Excellent written and oral communication skills.
  • Solid and proven experience in financial reporting.

 

Skills desired:

  • Solid knowledge of EU/NATO project/tender financial aspects.
  • Knowledge of how financial audits are conducted.
  • Strong knowledge of the Belgian financial and administrative aspects.
  • Experience in working in SMEs.
  • Result-oriented, being able to identify priorities

 

Specific requirements:

  • EU Nationality
  • Availability to travel and to work abroad
